Office Coordinator
KEY ACCOUNTABILITIES:
Under the direct supervision of the Bakery Director, will manage all administrative office activities and maintain overall flow of all office processes. Responsible for front Lobby Reception coverage. Responsible for answering telephone, transferring callers to appropriate party, greeting visitors and serving as Administrative Assistant to various departments. May perform other duties as required.
RESPONSIBILITIES:
:Manage all aspects of the office facilities including: create, implement, and manage positive, productive, and efficient work environment in main lobby and conference rooms.
:Maintain and coordinate conference room daily schedule.
:Provides Front Lobby reception coverage to include greeting guests, visitors, and vendors. Directs incoming calls to appropriate party, takes messages as needed.
:Assists walk:in applicants by providing Company employment information; directs applicants to on:line application process.
:Ensures guests/visitors are registered for their visit, provides Company:required documents to facilitate plant tours for HACCP/GMP compliance.
:Manages all office equipment ensuring proper equipment supply inventory.
:Identifies opportunities to save, decrease and contain costs.
:Assists with general office supply purchases; inputs orders via website; organizes incoming supplies and checks inventory as needed.
:Prepares packages for shipment via FedEx/UPS/USPS; processes labelling and other documentation via website.
:Assists with faxing, copying, mailing/distribution, etc.
:Assists Human Resources department with presentation materials, organizing and distribution of payroll checks, interview coordination, and selection process.
:Works to maintain and improve on the quality, legality and safety of each product and the processes used in their manufacture. Responsible for keeping assigned work area clean and tidy at all times and reporting any potential contamination and suspicious activity to a Supervisor immediately.
:Assists other departments as needed.
EDUCATION AND EXPERIENCE:
Some college or educational background beyond HS diploma required.
At least 2 years of experience as Receptionist in a fast paced environment.
Previous experience in Human Resources preferred.
