We are an alliance of social justice organizations that is looking for a person to help us with developing and facilitating our administrative and operations work as we transition to become an independent 501(C)3/(C)4 organization. This position will shuttle the organization thru the non-profit status process as well as establish and develop our administrative and operations systems. Our team is small but growing and we need someone with initiative and creativity to join our team. This is a full-time position located in Oakland, California. Administrative and Operations Manager reports to the Executive Director.

Bay Rising:
Bay Rising (BR) is a growing alliance of high-impact community-led organizations in Oakland, San Jose and San Francisco working to advance equity, rights and resilience with coordinated, strategic, regional civic engagement and public policy change efforts. BR is anchored by three local alliances—Oakland Rising, San Francisco Rising and Silicon Valley Rising. Each alliance is driven by grassroots, community organizations with majority people of color staff leadership, and their collective constituencies include tens of thousands of low-income, working-class immigrants and African-American, Latino and API communities of color who are being hit hardest by the region's racial and economic inequality.

Primary Roles and Responsibilities:
The Administrative/Operations Manager will be responsible for:
Operations responsibilities:
- Assist with filling for 501(c)3 organization status with local, state, and federal agencies
- developing an operating system including protocols for electronic document management and processes for financial transactions

Administrative responsibilities:
- Be the primary contract for our current fiscal sponsor regarding all day-to-day administrative and financial matters
- Maintain organizational email inbox and multiple coalition and staff calendars
- Respond to phone calls and messages in timely manner
- General office management – including supply management and office technology and equipment management
- Manage check requests, contracts, reimbursements processing thru our current fiscal sponsor
- Manage HR tasks such as on-boarding paperwork thru our current fiscal sponsor
- - Manange Data Base and IT network, work with IT vendors and Digital Security specialists
- - Responsible for maintaining complete archive of corporate and personnel documents
- - Organize and maintain hard files and electronic file folder systems

Program support responsibilities:
- Transcribe meeting notes and graphic facilitation notes
- Lead scheduling, logistical coordination and support of program work including trainings, coalition meetings, small and large-scale actions and mobilizations, and other campaign work.
- Collaborate with Executive Director, Communications Manager, and coalition members on special projects and other duties as needed

Experience Preferred:
· Bilingual Spanish
· 2-5 years administrative and operations management experience
· Working with coalitions and/or maintaining relationships with multiple social justice organizations and leaders
· Managing and scheduling several calendars simultaneously
· Providing logistical support to large scale meeting and events
· Working with large local, state, and federal governmental agencies and filling out forms and paperwork
· Mediation and conflict resolution

Skills need:
- Strong computer, virtual cloud, and financial management software skills
- - Experience with IT systems, digital security or data bases
- Highly organized and ability to handle details with deliberately and carefully
- Ability to multi-task and prioritize and work independently
- Ability to hold large vision while handling day to day tasks
- Ability to maintain a social justice lens in the development of an administrative and operations system

Skills preferred but not required:

- Experience with creating a non-profit organization, preferably a 501(c)3
- Experience working with financial management software and systems
- Experience with C4 regulations and requirements
