Classification: Exempt Department: Administration Department Reports To: Chief Finance and Administration Officer Principal Purpose of Job: Coordinates the administration functions of the entire Fund. Level of Authority: Works independently within the scope and direction of the Chief Finance and Administration Officer in accordance with organizational policies and procedures. Responsible for exercising good judgment; follow-through, good customer service; and management of priorities where failure to address issues on a timely basis could have a serious impact on the effective operation of the Education Fund. Work Environment: Most of the work is performed in a fast-paced office setting with frequent interruptions and with the need to deal with a diversity of people and tasks with an occasional need to work in a different office location. Essential Job Functions: Designs and implements administrative processes in a multi-office environment Coordinates all aspects of office facilities, including leases, space planning, purchasing, and other needs. Coordinates all equipment needs of employees, including computers and cell phones. Researches, recommends and coordinates organization's commercial insurance policies Negotiates and oversees contracts with administration vendors Coordinates business travel arrangements for all staff Recommends and implements strategies for process improvement and cost efficiency Assists HR Director with onboarding process, ensuring that staff have all needed equipment, desk space, system access, etc. Assists with special projects as necessary Some travel to branch offices required Qualifications and Capabilities Minimum 3 years' experience as an office manager or similar position Minimum 3 years' experience negotiating contracts for office leases, copiers, phones, and other office equipment Ability to handle multiple tasks simultaneously within strict timelines/deadlines. Strong analytical mind, interpersonal skills, and ability to work in a changing environment. Strong Microsoft Office experience Excellent written, oral and problem solving skills Strong critical thinking skills, judgement and tact and a professional demeanor required Experience working within the non profit environment is preferred. Physical Demands Ability to sit at a work station for extended time periods.
